Cancellation & Refund Policy

At WedMe Best we understand that wedding plans may change due to unforeseen circumstances. As WedMe Best connects couples and families with independent wedding venues, resorts, planners and service providers, cancellation, modification and refund policies may vary depending upon the individual vendor or service booked.

This Cancellation & Refund Policy explains the general framework applicable to bookings facilitated through WedMe Best.

1. Vendor-Specific Cancellation Policy

Each hotel, resort, wedding venue, wedding planner, decorator, photographer, videographer, caterer, makeup artist, entertainment artist or other service provider (“Vendor”) may maintain its own cancellation, amendment, postponement and refund policy.

Accordingly, the cancellation terms applicable to a particular booking shall be the terms communicated and accepted at the time of confirmation, including those contained in the Vendor’s:

  • Quotation or proposal;
  • Booking confirmation;
  • Contract or agreement;
  • Invoice;
  • Payment schedule; or
  • Specific cancellation and refund conditions.

The Vendor’s agreed cancellation policy shall prevail for services directly provided by that Vendor.

2. Role of WedMe Best

WedMe Best operates as a wedding planning, discovery, consultation and/or facilitation platform connecting customers with wedding venues and service providers.

Unless specifically stated otherwise in writing, Vendors listed, recommended or introduced through WedMe Best operate as independent service providers and not as employees, agents or representatives of WedMe Best.

WedMe Best does not have the authority to override a Vendor’s cancellation or refund policy unless such an exception has been expressly agreed to by the concerned Vendor.

3. Cancellation by the Customer

If a customer wishes to cancel a confirmed service, the cancellation request should be communicated in writing at the earliest possible opportunity.

Any cancellation charges will be determined according to:

  • The concerned Vendor’s cancellation policy;
  • The date on which the cancellation request is received;
  • The proximity of cancellation to the wedding/event date;
  • Payments already made;
  • Non-refundable advances or retainers;
  • Services or work already performed;
  • Materials or resources already procured;
  • Third-party commitments already made; and
  • Any other terms agreed at the time of booking.

Submission of a cancellation request does not automatically entitle the customer to a refund.

4. Booking Advances & Non-Refundable Payments

Certain Vendors may require an advance, booking amount, retainer or deposit to reserve their services or block wedding dates.

Such amounts may be partially refundable, completely non-refundable or adjustable, depending upon the Vendor’s individual terms.

Customers are advised to carefully review the applicable cancellation conditions before making any payment.

5. Venue & Resort Bookings

Hotels, resorts and wedding venues generally maintain their own cancellation and amendment policies based on factors such as room inventory, event spaces, wedding dates, seasonality, meal commitments and other contracted services.

Any cancellation of accommodation, banquet venues, food and beverage arrangements or other hotel/resort services will therefore be governed by the respective property’s confirmed contractual terms.

6. Date Changes & Postponements

A request to postpone a wedding or change the event date will not automatically be treated as a cancellation, provided the concerned Vendor agrees to accommodate the change.

Approval of a date change may be subject to:

  • Availability on the revised dates;
  • Vendor approval;
  • Revised rates;
  • Seasonal price differences;
  • Additional charges;
  • Minimum business commitments; and
  • Other revised contractual conditions.

Any advance already paid may be adjusted against the revised date only where permitted by the concerned Vendor.

7. Cancellation by a Vendor

If a Vendor cancels or becomes unable to provide the confirmed service, the refund, replacement or alternative arrangement will ordinarily be governed by the Vendor’s contractual obligations and applicable law.

Where reasonably possible, WedMe Best may assist the customer in identifying an alternative service provider. However, availability, pricing and service equivalence cannot be guaranteed.

8. WedMe Best Service or Consultation Fees

Any consultation, planning, facilitation, convenience, administrative or service fee separately charged by WedMe Best may have its own cancellation and refund conditions, which will be communicated before confirmation.

Where work has already commenced or services have already been rendered, the applicable WedMe Best fee may be partially or fully non-refundable, subject to the agreed terms and applicable law.

Vendor refunds and WedMe Best service-fee refunds shall be treated separately unless specifically agreed otherwise in writing.

9. Third-Party Payments

Where payments are made directly to a Vendor, any refund due shall ordinarily be processed by the concerned Vendor.

Where WedMe Best facilitates or collects a payment on behalf of a Vendor, any refund will remain subject to the Vendor’s approval, applicable contractual terms and the payment-processing mechanism used for the transaction.

Applicable payment gateway, banking, transaction or administrative charges may be deducted where legally permissible and previously disclosed.

10. Force Majeure & Unforeseen Circumstances

Events beyond the reasonable control of the customer, Vendor or WedMe Best—including natural disasters, extreme weather, government restrictions, civil disturbances, epidemics, pandemics, transportation disruptions or other force majeure circumstances—may affect the ability to conduct a wedding or provide contracted services.

Cancellation, postponement, credit or refund in such circumstances shall be handled according to the applicable Vendor agreement, WedMe Best terms where relevant, and applicable law.

Where possible, the parties may mutually explore alternatives such as rescheduling, adjustment of advances or credit for future services.

11. Refund Processing

Where a refund has been approved, the processing timeline will depend upon the concerned Vendor, payment method, banking institution and payment gateway.

WedMe Best cannot guarantee a specific refund timeline for amounts collected directly by independent Vendors.

Any applicable refund timeline communicated by the Vendor shall prevail.

12. Multiple Vendor Bookings

A wedding may involve multiple independent Vendors.

Cancellation of one Vendor’s service does not automatically cancel other confirmed services. Each booking will be subject to its respective cancellation and refund terms.

For example, cancellation of a venue booking may not automatically cancel or refund amounts paid to a photographer, decorator, makeup artist, entertainment provider or wedding planner.

Customers should therefore review each Vendor’s individual terms carefully.

13. Disputes with Vendors

In case of a disagreement relating to cancellation, refund, service delivery or performance by an independent Vendor, WedMe Best may, where appropriate, assist in facilitating communication between the customer and Vendor.

However, unless WedMe Best is itself the contracting service provider, the final responsibility for resolving Vendor-specific contractual disputes remains between the customer and the concerned Vendor, subject to applicable law.

Nothing in this policy is intended to exclude or restrict any rights or remedies available to a customer under applicable consumer protection or other applicable laws.

14. ACCEPTANCE OF VENDOR TERMS

Before confirming a booking or making payment, customers are strongly encouraged to review:

Making a payment or confirming a booking may constitute acceptance of the applicable Vendor’s booking terms where legally valid and appropriately communicated.

Cancellation, postponement and refund policies vary from Vendor to Vendor. WedMe Best does not maintain a single cancellation policy on behalf of all independent Vendors. Customers should review and accept the specific Vendor’s applicable terms before confirming a booking or making any payment.
